A large financial service client were traditional ACT! users who were finding their database difficult to deal with and felt that they needed a system that would better help support their process and increase the level of service that they offered to clients.

 

The Problem

This client had two ACT! Databases one that held the policy information they needed which included the name and contact details for the company's running the specific policies. also any specific history of that policy from inception.

The second database was the clients system and this database contained everything that was needed to manage the relationship that our client had with their clients this included any communication that they had and also all of the history of the client, this was and is important for compliance with FSA regulations.

Although these databases were running well our client had no way of linking a policy to a client except for a note on one of the two systems  they identified that this was not the ideal way of working and that they needed the two systems to link together so a policy or multiple policies could be linked to a client record.

 

The Solution

Firstly Arbatel Ltd had to consult with the client to ensure that we knew the processes that they worked to then we presented the WiredContact product as a solution to the issue that they were facing.

Our first step was to convert both ACT! based database's to Microsoft SQL Server based database's then we compiled a new installation of WiredContact using the contact's database this enabled the client to see the contacts via a web based environment

WiredContact gives the client all the abilities that they had in ACT! including the ability to Schedule Activities, Record History, Send Communications (Letters & Emails) and other general tasks. Our first priority is that the client is able to work with the client records whilst the development process is running.

 

We then planned our next step to allow the policy database to be viewed within WiredContact and also enable our client to assign a policy from the policy database to a customer record. Using the native ASP integration that WiredContact allows we built a way of first viewing the data within the policies database which we did by initiating a new tab at the bottom of the contact screen (see above)

Then our task was to enable the ability for our client to start assigning policies to contacts our first stumbling block in this process was that the unique references within the databases did not match so we built a new set of unique identifiers for the clients database and then for the policy database. Then using ASP and SQL commands we created the ability for policies to be linked to a client record. We did this and the 'View Policy' tab was born

As you can see this tab now allows our client to view all the policies held by their customer, but it doesn't stop there we felt that there was requirement to allow a policy to be edited as things can change for a client or for a policy so we added the ability to do this by the Edit Policy symbol next to each record. clicking on this icon takes you to the edit screen.

This screen is also used for adding a new policy to the database and a link is provided on the 'View Policy' tab. If a policy is added in this manner it is automatically assigned to the customer record you are adding from.
